Receptionist & Business Office Admin

Reports To: Human Resource Manager

Position Summary:The Receptionist & Business Office Administrator is the face of the school, acts as the first point of contact and assists all school constituencies with day-to-day support requests. The Receptionist & Business Office Administrator also supports the various needs of the different business office units including, Human Resources, Accounting and Facilities. The Receptionist & Business Office Administrator is encouraged to discuss with management, opportunities for professional and social involvement with school and student activities.

Position Duties and Responsibilities:

  • Answers multi-line school phone

  • Provide superior customer service to all external and internal customers, including staff, students, current and prospective families

  • Checking people into school visitor system and parking validations

  • Responsible for monitoring and granting access to secured building facility

  • Serves visitors by greeting, welcoming, and directing them appropriately; notifies company personnel of visitor arrival

  • Distributes and manages school promotional inventory

  • Checks students in and out through the attendance system

  • Partners with school security vendors and assists with daily work log

  • Responsible for coordinating maintenance and facilities requests

  • Maintains and updates the main school calendar, lost & found, carpool schedule and coordinates monthly birthday breakfast

  • Partners with Division and Department personnel to prepare for new school year, including summer purchasing, prep for new and returning faculty & staff and student record reconciliation

  • Assists with Business Office special projects as requested by management

  • Provides assistance with mail delivery and fire drill activities as needed

  • Perform various other duties as assigned by management

Qualifications:

  • High School diploma, or equivalency required 
  • Experience in an Independent School environment preferred

  • Bachelor’s degree preferred

  • Excellent computer skills, including Microsoft Office, Gmail, Google Drive, Shared Docs and Sheets or Microsoft equivalent

  • Ability to understand and follow written and verbal instructions
  • Ability to work effectively with others
  • Ability to work independently
  • Ability to interact with a professional demeanor with staff, general public, and school personnel 
  • Effective prioritization and time management skills
  • Ability to meet strict deadlines under pressure

Non-Physical Demands:
Change of tasks, performing multiple tasks simultaneously, working with others as part of a team, and irregular schedule/overtime may be required at times.
