Director of Special Events and Volunteers

Reports to: Head of Institutional Philanthripy (HP)

Position Summary: The Director of Special Events and Volunteers is responsible for maintaining and growing exemplary volunteer and special events programs to provide critical resources to the School—in the form of both human resources (i.e., volunteers) and financial resources (i.e., event revenue). The next-level challenge is to modernize the existing volunteer program, resulting in more volunteers with deeper engagement and commitment to the School and our fundraising goals.


Manage Annual Fundraising Event

  • Help create, manage, and execute the annual fundraising event to achieve targeted financial goals (events include a Gala and a Carnival, each held every other year);
  • Coordinate and clear all requests for parent volunteer chairs with the HP and Volunteer Council leadership;
  • Engage, recruit, train, manage, thank, and retain volunteers to provide necessary resources to the School;
  • Ensure that responsibilities and authorities of volunteers and staff are defined and understood;
  • Update and develop volunteer goals, job descriptions, budgets, and timelines, while monitoring progress and provide coaching to enable volunteers to meet their goals;
  • Coordinate all room reservations with First Presbyterian Church Events Office for any parent meeting;
  • Create a culture where cost/benefit analysis is consistently measured for the fundraising events;
  • Work with volunteers to select, hire, manage, and direct contractors and vendors, while reviewing all contracts;
  • Keep in mind and coordinate the fundraising volunteers with the Volunteer Council.


Manage the PS Volunteer Council

  • Ensure the volunteer experience is easy to access, meaningful to the volunteer, and productive for Presbyterian School;
  • Coordinate all event and volunteer communications to ensure accuracy, clarity, and conformity to the Presbyterian School brand;
  • Evaluate events and programs on a yearly basis, looking for areas to adjust costs, improve the initiative, and better utilize volunteers;
  • Ensure that each person who formally volunteers to help is contacted and an attempt is made to find a suitable volunteer avenue for that individual;
  • Update and develop volunteer goals, job descriptions, budgets, and timelines, while monitoring progress and providing coaching to enable volunteers to meet their goals;
  • Coordinate all details for Parent Education events that relate to stewardship and the Headmaster;
  • Engage, recruit, train, manage, thank, and retain volunteers to provide necessary resources to the School;
  • Provide support to the Capital Campaign as requested by the HP;
  • Work closely and meet regularly with the HP to ensure coordinated efforts between the fundraising events, Volunteer Council, and other programming such as Capital Campaign efforts and Annual Fund.



  • B.A. or B.S. from four-year college;
  • A minimum of three years of experience in special events (or the equivalent);
  • Proficient with Microsoft Office products;
  • Knowledge of databases, auction software, and volunteer management software;
  • Demonstrated project management, time management, and organizational skills;
  • Agility to manage details of multiple and complex projects within firm schedules, to set priorities that accurately reflect the relative importance of activities or job duties, and to carry out event goals in a manner that enhances the image of Presbyterian School;
  • Proven success in engaging and motivating volunteers, donors, and colleagues;
  • Ability to prioritize and respond with a high degree of urgency and accuracy to the needs and requests of others;
  • Accurately provide and receive information in oral and written communications;
  • Strong ability to prepare reports, timelines, and correspondence as necessary;
  • Knowledge of social protocol and etiquette;
  • Delegate effectively without abdicating authority;
  • Create a positive environment where two-way communication and trust are established;
  • Take the initiative to identify and act on problems and lead by example;
  • Ability to come to a resolution quickly without jeopardizing the event/program or relationships with people involved;
  • A results-orientated individual who demonstrates the ability to work well with people at all levels, warmly developing relationships while simultaneously employing keen judgment;
  • Ability to work independently with minimal supervision;
  • Clearly communicate the mission and vision of the School and the purpose of each activity to ensure everyone works efficiently toward the same goals;
  • Will adhere to the Association of Fundraising Professionals’ Code of Ethical Principles and Donor Bill of Rights.
